Celebrating our 140th Anniversary

Following discussions with Disclosure Scotland, as of 1st May 2024 The Boys’ Brigade has taken full responsibility for the administration of processing PVG applications.

The steps involved are as follows:

Registering a New Leader

If the applicant is a new or returning leader, the appropriate Leader Registration Form must be completed and returned to BB Headquarters. The forms can be found here.

When a form has been processed, the applicant will be sent details for completing our Managing Risk and Safeguarding e-learning modules via Online Brigade Manager (OBM).

It is important to note that applicants will not be permitted to volunteer in The Boys’ Brigade until both modules have been completed and they have joined the PVG scheme or undergone a scheme update.

Checking Identity

Identity documents belonging to the applicant will need to be checked by the Company Captain/Correspondent or Battalion Secretary/President/Vice-President/Treasurer (the “Identity Checker”). The Identity Checker cannot be related to or live with the applicant.

Original identity documents (not photocopies) must be produced that confirm the applicant’s full name, date of birth and current address, in line with one of the following routes:

Route A: One form of photographic ID with applicant’s date of birth and one document confirming current address (dated within 12 months, unless otherwise stated).

Route B: Where no photographic ID can be produced, one document confirming applicant’s date of birth and two documents confirming current address (dated within 12 months, unless otherwise stated).

Route A – Photographic ID

Acceptable forms of identity are as follows – one from each list should be produced:

Photographic Identity Document (confirming date of birth)

  • Current passport (any nationality)
  • Current photocard driving licence
  • Biometric Residence Permit (UK)
  • National Entitlement Card
  • HM Forces ID card (UK)
  • Firearms licence (UK, Isle of Man or Channel Islands)

Document issued within the last 12 months, unless otherwise stated (confirming current address)

  • Mortgage statement (UK, EEA)
  • Payslip or P60 statement (UK, Channel Islands)
  • Council tax statement (Great Britain, Channel Islands)
  • * Bank, building society or credit card statement (UK, EEA) – must be within the last 3 months
  • * Utility bill (not mobile phone) (UK, EEA) – must be within the last 3 months
  • Tenancy agreement – must be typed, not handwritten (UK, Channel Islands)
  • Insurance policy document or letter (UK, Channel Islands)
  • Electoral Register Office letter or Polling Card (UK)
  • Home Office letter (UK)
  • Hospital or Doctor’s letter (UK)
  • TV Licence (UK)
  • University, college or school letter (UK)
  • Solicitor’s letter on headed paper (UK)

Route B – No Photographic ID

Acceptable forms of identity are as follows – one from the first list and two from the second list should be produced:

Document confirming date of birth

  • Birth certificate
  • Marriage / Civil Partnership Certificate
  • Current driving licence (full or provisional paper version, if issued before 1998) (UK, Isle of Man, Channel Islands, EEA)
  • Adoption certificate

Documents issued within the last 12 months, unless otherwise stated (confirming current address)

  • Mortgage statement (UK, EEA)
  • Payslip or P60 statement (UK, Channel Islands)
  • Council tax statement (Great Britain, Channel Islands)
  • * Bank, building society or credit card statement (UK, EEA) – must be within the last 3 months
  • * Utility bill (not mobile phone) (UK, EEA) – must be within the last 3 months

The Identity Checker should use our online PVG ID Checking Form to submit the information required by BB Headquarters to process an application. As part of this they will be asked to confirm that the address and date of birth recorded on the Leader Registration Form or OBM are the same as on their identity documents.

The information on the ID Checking Form, once submitted, will go directly to BB Headquarters. Both the applicant and Identity Checker will receive email confirmation that the information has been received.

After confirming the details of the applicant, BB Headquarters will initiate the first part of the online PVG application. If there are any queries, the applicant and/or Identity Checker will be contacted as appropriate.

Disclosure Scotland

The applicant will then receive an email with their unique link to the Disclosure Scotland online application form (note – this link will expire after 14 days so applicants should check their inbox and their spam/junk mail regularly). Applicants will then complete their application and submit it to Disclosure Scotland.

The applicant will be able to view disclosure results online. BB Headquarters will be notified of the outcome and the relevant parties will be informed.

Completing a Registration

Once a new or returning leader has joined the PVG scheme or undergone a scheme update and completed our mandatory e-learning modules, this will be verified by BB Headquarters and the registration made live.

The leader will receive email confirmation informing them that they are permitted to volunteer. A registration card will be sent by post to the leader approximately 4-6 weeks after this.
